I recently switched my primary email service to Gmail (IMAP), and I am having a hard time figuring out how to go about adapting to using the unique Gmail Filters/Labels features...specifically in regards to how I should configure my email client (Entourage 2008) down retrieve messages from the server??

This was as simple as could be with my previous IMAP email provider because they didn't use 'labels', instead they simply used standard 'folders', where a single email could only exist in one place...ever (other than search folders)...

With Gmail, I can theoretically have half a dozen labels applied to thousands of email throughout my messages stored throughout the server, and my first take on this situation is that I might wind up with an Entourage database file that's many times larger than it had previous been and will most likely take longer in sending and receiving emails, due to the fact that Entourage will download the same message multiple times to place a copy into each 'folder/label' (i.e. Entourage creates a folder structure to mimic Gmail's labels structure)?

Does anyone have any suggestions for dealing with this? What about going into Entourage and configuring my Schedules to download 'headers only' instead of 'all messages' (as depicted here):

...or is there something I am supposed to configure accordingly in the IMAP account settings, as depicted here:

Another question I have in regards to dealing with labels properly...how can I go about adding/removing labels from emails within entourage? If a message exists in both my 'Business' folder (Gmail label=Business) and also in my 'Personal' folder (Gmail label=Personal), would I simply delete the message from one of the folders to remove that specific label from that message? How would I then go about actually deleting a message entirely (i.e. making sure it was deleted from each and every folder in Entourage (and placed in the Trash folder on the Gmail server)?

If it wouldn't be too much trouble, if someone wouldn't mind also helping me figure out how to accomplish these tasks via Apple Mail 3.0 Leopard as well, I'd be really grateful!!

Any suggestions (related to the questions above, or other tips I should keep in mind) would be greatly appreciated... Thanks!

Separate concern: in Root folder, put in [Gmail] (including the brackets).

I use Gmail IMAP in Entourage 2008 as well. Not sure about your concerns with labeling. In Entourage, there's no way to apply a Gmail label. Commands to move or copy messages among folders are treated that way.

Moving a message to a Gmail label folder is just labeling it, not moving.
Deleting a message from a Gmail label folder is just unlabeling it. It will still appear in All Mail and any other Gmail label folders it belongs to.

Headers only means it only downloads the sender/subject/etc but not the message body; faster to sync and takes less disk space (not really a concern), but will pause between messages when you go to read them. All messages will download the entire message, and I would recommend it unless you are on a very slow internet connection.

But if an email has two labels applied, won't entourage download the full email twice, so that it places one in each Entourage-Folder corresponding to that email?

If deleteing an email from a folder is just like 'unlabeling' it, would I simply choose to move a message to the trash to remove all labels from it? If so, can the trash be emptied from within Entourage, thereby deleting the email completely from all label-folders, or does the actual deletion part have to be done via Gmail's web interface?

COLD WARRIOR - what is the purpose of adding [Gmail] to the root folder field as you've mentioned?

Finally, I am using Google Apps Premier Email, not Google Accounts Gmail -- Does Entourage or Mail handle things any differently in my case (when compared to how it handles Gmail IMAP for non-apps accounts)?

Probably. Are your emails big enough to be concerned about it?

If you delete it from the All Mail Gmail label folder it's actually deleted. Not sure how it works with an applications trash folder.

Used to be called Gmail For Your Domain, works just the same as regular Gmail.

If you press Delete on a message, and that's the only copy of it, then it'll go to the Trash. Emptying the trash in Entourage will remove it from Gmail. You don't have to go to the webmail interface.

That way you don't get the Gmail folder in the folders list with its subfolders. It'll dock all the folders there as if they were like the ones in On My Computer.

I tried your suggestion adding [Gmail] to the root folder field, and that did succeed in preventing the Gmail folder from showing up within the list of folders with its sub-folders, but it also results in my various labels (which get translated into Entourage Folders) from not appearing at all??

Do you use labels? If so, have you added "[Gmail]" to the root folder field in your account preferences and still get your Gmail labels to show up as folders in Entourage?

If you do not use labels, then I am sad to report that this appears to be a drawback (or shortcoming of Entourage) that's caused by adding [Gmail] to the root folder field of the account preferences

How do the other settings in my Accounts settings look? Would you also choose to configure your gmail account settings the same way (in regards to the 'Server Options' settings of the 'options' tab within the account setup window?

My screenshot showing my account settings appears to have been removed from this post for some reason...not sure why though...but if the screenshot is also missing on your end, then please refer to the text list of my settings below)...

  • Root Folder -- Blank (I know yours is different on this one, as discussed above)

  • Check For Unread Message In Subscribed Folders -- Checked
