Archiving using Outlook 2011

Is it true that Outlook doesn't archive nearly as efficiently as the pc version, and that to archive we must export as a file to be opened if necessary later? Horrible if true, but if so, then hopefully they are working on an update/fix.
I just had to find an email string from 2010, and it was not on my MacAir, but luckily in my pc laptop archive(thank sweet sonny jesus).

So that I have a complete record of all emails going in and out. Maybe I'm missing something, but I can't find a way to get Outlook to save more than about 200 emails on one account. On the pc it saved everything, and automatically archived everything. I don't care if I'm archiving or not, but want to quickly retrieve any email which came or went out.
I just had a lawsuit about to be thrown at me yesterday, and if it wasn't for the archived email threads on my pc Outlook program I might have been screwed. Relying on Mac Outlook as it is configured now, I certainly would have been.

btw - after I copy and pasted the emails to the plaintiff he has now decided to drop the suit.

I'm not following. I have 75k emails in Outlook for Mac 2011. Coworkers have double that number. File->Export exports all mail to an .olm file.
